Automation of business processes

Routine is what burns up our time and takes away our lives.

Routine sucks you in, you get used to it, you begin to perceive it as the norm. Sometimes she even calms you down, her monotony makes you forget.

But you have to stop for a minute, raise your head, and you remember that you were not born for this.

Today we have the opportunity to transfer some of this monotonous work to technology, we just need to think a little about how to organize this process; stop for a minute, get out of the cycle of the same type of actions.

The main working tool of a modern office worker is an office software package. At the same time, working with documents in the office of any organization involves performing a significant number of routine, repetitive operations. Every time you find that certain sequences of actions with documents are repeated with minimal changes from day to day, you should think about ways to automate them.

Many office jobs involve the need to review a large number of documents or lists, select certain information blocks and generate new documents from them – reports, summaries, etc. If documents are stored in the form of files, and the rules for selecting information can be formalized, i.e. can be described as a sequence of relatively simple steps, this almost always makes it possible to automate such work.

Finally, quite often information from documents developed using one of the programs must be processed in a chain by several other programs. Of course, such information transfer should be carried out not by a person, but by a computer – this is another area of application of office programming.

Let’s look at a few typical examples of office work automation.

  • Filling Excel tables or databases with data from various types of text or pdf files, which are usually the result of exporting various third-party applications (for example, accounting programs). During this process, it is possible to process data, correct errors, change the structure, check duplicates, bring it to the desired form, and much more.
  • Filling standard document templates with data from tables or databases. For example, by pressing one button you can automatically generate a large package of various documents for a selected client (or several clients) and print them or send them by mail.
  • Working with mail. Automatic replies, mailings, notifications, as well as adding certain data from incoming letters to a database or Excel table.
  • Processing large amounts of data from a database or Excel tables according to a given scenario for further use and analysis. During such processing, some data can be excluded or added, operations can be performed to change texts, as well as numerical data and dates.
  • Automation of the process of finding typical errors that occur when entering or using data.

One of the problems of the modern world is the incredible amount of accumulated information on any issue. However, it is often stored in different places and in different forms. Automation of processes allows you to quickly collect and prepare the data of interest for more convenient further use: build graphs or summary tables, conduct analysis based on specified parameters, etc. Software algorithms do their work tens of thousands, or even millions of times, faster and more efficiently than humans , thanks to this it becomes possible to collect data on a regular basis, quickly tracking changes that occur in them.
